Google Business Profile Checklist: 21 Items, Where to Click and Why

Key takeaways:

  • A Google Business Profile checklist covers four blocks: foundations, content, reviews and maintenance, checked in that order.
  • Google's own playbook reports 7x more clicks for businesses with complete profiles, so empty fields cost real traffic.
  • Keep the business name identical to your signage, since added keywords can get the profile suspended by Google.
  • Accept or reject suggested edits within 4 days, or the platform may publish the change to your profile automatically.
  • The Q&A API shut down in November 2025, so move frequent customer questions into your description and services.
Table of contents

A Google Business Profile checklist is a field-by-field list of everything your listing on Google Search and Google Maps should contain, each item paired with the reason it matters and the exact place to click in Edit profile. Most local business owners fill in the business name, address, phone number once, then stop. The profile slowly drifts: holiday closures go missing, suggested edits get published without anyone checking them, and a feature such as Q&A disappears quietly. Customers notice the drift first, usually on a phone, minutes before deciding where to go. This checklist groups 21 tasks into four blocks you can work through in one afternoon: foundations, content, reviews and maintenance. Every rule, limit and delay below was checked against Google Business Profile Help in September 2026, including the features that changed or disappeared over the past year.

What is a Google Business Profile checklist?

A Google Business Profile checklist is an ordered list of the fields, content and routines that keep a GBP listing complete, accurate and consistent with Google's guidelines. The checklist turns a vague goal, optimize your Google listing, into steps you can check, fix and repeat every month, which is what most business profile optimization comes down to.

The format matters because the search engine judges your profile field by field. Google Business Profile Help states that businesses with complete and accurate info are more likely to show up in local search results, and that no one can pay for a better local ranking. Completing the profile is a ranking lever fully under your control.

Which checklist tasks help local ranking?

Google names three local ranking factors. Relevance is how well a profile matches the search, which is where business categories, services and the description count. Distance is how far the business location sits from the searcher, so keep the address and map pin accurate. Prominence is how well known the business is, and more reviews and positive ratings can help, which is why review count and star rating sit in this checklist too.

That third factor is the one a checklist cannot fill alone, because reviews come from customers. The review block below assumes every satisfied customer can reach your review form in one step, whether from an email link, a printed QR code or an NFC review plate by the register.

What are the benefits of a Google Business Profile?

The benefits show up as local visibility and conversions. In 2024, Google helped drive more than 2 billion direct connections every month, such as calls, direction requests, messages and bookings, for more than 19 million American businesses. For many local businesses, the profile is the digital storefront potential customers see before the website.

Businesses with complete profiles receive 7x more clicks, according to Google internal data in Google's Business Profile best practices guide.

The same guide reports that businesses that add photos receive 42% more requests for directions on Google Maps and 35% more clicks through to their websites. Those are the trust signals that boost conversions without spending on Google Ads, and they sit inside local SEO, the part of search engine optimization that targets nearby searchers.

What is needed for a Google Business Profile?

A Google Business Profile needs six foundations before anything else: a guideline-compliant business name, the right categories, a real address or service area, accurate business hours, a local phone number and a website link. These fields feed relevance and distance, and customers act on them first.

All six live in one place. On Google Search, open your Business Profile and select Edit profile; in the Maps app, tap Business, then Edit profile. Every change is checked before it goes live. Older tutorials call this a Google My Business listing, or GMB listing, from before the rename; the fields below are the current ones.

1. A business name that matches your signage

Why: the name is the field Google polices hardest. Taglines, store codes, all-caps words, opening times, phone numbers, URLs and service or location details are all out. Google's own example of a violation is "TD Bank, America's Most Convenient Bank."

Your name should reflect your business's real-world name, as used consistently on your storefront, website, stationery, and as known to customers.

Google Business Profile Help, Guidelines for representing your business on Google, checked September 2026

Where to click: Edit profile, then Business name. Extra keywords in the name can get the profile suspended. Keep each relevant keyword for the description and services instead.

2. Primary and secondary categories

Why: categories are the main relevance signal. The guidelines ask for the fewest categories that describe your core business, as specific as possible, completing "this business IS a," not "HAS a."

Where to click: Edit profile, then Business category. The first is your primary category, and you can add up to 9 more. Our guide to choosing your primary category shows how to compare candidates against local competitors.

3. Address or service area

Why: the platform wants your real-world location. P.O. boxes and remote mailboxes are not acceptable. A service area business removes its address and lists up to 20 service areas, no more than about 2 hours of driving from its base.

Where to click: Edit profile, then Location; next to Service area, select Edit. Then zoom in on the map and drag the map pin onto your front door.

4. Business hours, including holidays

Why: opening times decide whether a searcher drives over now. The same Google guide cites 2025 Uberall research: 96% of customers are more likely to visit a business that displays hours of operation.

Where to click: Edit profile, then Hours; next to Special hours, select Edit, pick the date, enter times or tick Closed, then Save. Confirm official holidays even when the schedule matches a normal week, as Google advises, starting with Thanksgiving and the Fourth of July.

5. A local phone number

Why: the guidelines ask for a local number instead of a call center helpline whenever possible. Premium numbers and numbers that redirect to another line are not acceptable. Where to click: Edit profile, then Phone number; you can add up to 2 additional numbers.

6. A website link with UTM tags

Why: the field must point to your own business page. URLs that redirect users to other landing pages, including pages on social media sites, are ruled out. Where to click: Edit profile, then Website. Then tag the website link with UTM parameters so Google Analytics separates profile traffic from other visitors.

Task Where to click Rule to follow
Business name Edit profile, Business name Same as signage, no added keywords
Categories Edit profile, Business category 1 primary, up to 9 more, fewest possible
Address or area Edit profile, Location Real location, up to 20 service areas
Opening times Edit profile, Hours, Special hours Confirm every official holiday
Phone Edit profile, Phone number Local number, up to 3 in total
Website Edit profile, Website Your own page, no redirect, UTM tags

What should be included in a Google Business Profile?

Beyond the foundations, a Google Business Profile should include a business description of up to 750 characters, services, products if you sell physical goods, attributes, quality images, regular posts and social media links. These content fields give customers reasons to choose you and give the search engine more text to match local searches.

7. A business description of up to 750 characters

Why: the business description shows in the "From the business" section, the only free-text pitch on the profile. Cover what you offer, what makes you special and how long you have been in business, without URLs, HTML or promotions.

Where to click: Edit profile, then Business description. Do not exceed 750 characters, the limit Google sets. Name your main services and neighborhood once each, in plain sentences.

8. Services and menu

Why: services add terms such as "brake repair" that a category cannot carry, and food businesses can add a menu. Where to click: Edit services, then Add more services. Pick suggested services for your business type or create custom ones; custom names with prices or phone numbers are rejected automatically.

9. Products

Why: the product editor lets a local store show physical goods, so a shopper can confirm you carry an item. Where to click: Edit products, fill out the form, then Publish. Each product needs an image and must follow the Shopping ads policy.

10. Attributes

Why: attributes answer practical concerns before anyone calls, such as a wheelchair accessible entrance, Wi-Fi or outdoor seating. Identity options include Asian-owned, Black-owned, LGBTQ+ owned and women-owned. Where to click: Edit profile, then More. The small business attribute requires revenue under $10 million a year and excludes franchises.

Photo and video specs from Google
  • Photos: JPG or PNG, between 10 KB and 5 MB.
  • Resolution: 720 x 720 px recommended, 250 x 250 px minimum.
  • Videos: up to 30 seconds, up to 75 MB, 720p or higher.
  • Delay: up to 24 to 48 hours before new media shows.

11. Photos and videos

Why: photos let a customer view the storefront, interior and team photos before a first visit. Images must be in focus, well lit and free of heavy filters, and you can only upload them after verification.

Where to click: Photos, then Add photos, plus Add a logo and Add a cover photo. Upload a new batch each month. For what to shoot, see the photo mix customers expect.

12. Posts

Why: posts share news, offers and events on Search and Maps. The same Google guide reports 5x more views for regularly updated Business Profiles, so regularly update the profile with one post a month at least. Where to click: Posts, then Add post, and choose Update, Offer or Event. Posts older than 6 months are archived unless you give them a date range.

13. Social media links and opening date

Why: social links show recent work and testimonials without leaving the search results. Add one link per platform: Facebook, Instagram, LinkedIn, Pinterest, TikTok, X or YouTube. A YouTube channel is helpful for service businesses that show jobs on video. Where to click: Edit profile, then the social profiles and opening date fields.

How do you manage Google reviews on your profile?

Managing Google reviews on your profile comes down to three checklist tasks: a review link customers can open in one step, a steady request rhythm without incentives, and prompt, personal replies. Reviews feed prominence, the one ranking factor you cannot fill in yourself.

  • Do: address each customer by name and mention the specific detail they wrote about.
  • Do: answer negative feedback with facts and a way to reach the manager offline.
  • Don't: offer a discount or a gift in exchange for a new or edited rating.
  • Don't: paste the same one-line reply under every comment.

14. Your review link and QR code

Why: every extra tap between the request and the form loses customers. Where to click: Business Profile, Read reviews, Get more reviews, then Copy. The QR code is only generated from a computer browser: right-click it, then Save image as.

The help center suggests the link on receipts, in thank-you emails and at the end of a chat, plus a printed QR code in store. Digifeel plates and cards open that same page through NFC or a QR code, on iPhone and Android, with no subscription.

15. A steady request rhythm

Why: a trickle of recent ratings reads better than a yearly burst. Ask satisfied customers to leave positive feedback at the same moment every time, at checkout or sign-off, and make it easy with one link. Incentives for reviews are strictly prohibited by Google. That covers discounts for posting, changing or removing a rating.

16. Replies to every review

Why: replies are public, posted under your business name, and the customer is notified. Where to click: Read reviews, then Reply next to the comment. Each reply is checked first, usually within 10 minutes, sometimes up to 30 days.

Put your Google review link where customers already stand

A counter plate with NFC and a QR code opens your Google review page on iPhone and Android in one tap or scan. There is no subscription, and activation takes a few minutes with a QR code.

How do you maintain a Google Business Profile?

Maintaining a Google Business Profile means watching what changes without you: suggested edits, retired features such as Q&A, duplicate listings, verification status and performance data. A profile that was complete in January can show wrong info by June.

17. Suggested edits from Google

Why: Google updates profiles from user reports, licensed content and public info such as your website. In the profile editor, blue text shows info changed by Google, and you may get an email when a suggestion needs a decision.

Once notified, you have 4 days to accept or reject a suggested edit, or it may go live anyway, per Google's page on managing Google updates.

Where to click: Edit profile, then look for blue text and accept or correct it. Route notifications to an email address someone reads daily, and check it at least twice weekly.

Automated calls to your business can also post updates for you. A verified owner can turn that off in Advanced settings, under Google automated calls and text messages.

18. Q&A, if your profile still shows it

Why: Q&A let anyone post answers on your listing, often wrong ones. The My Business Q&A API was discontinued on November 3, 2025, and the Q&A help article on support.google.com now returns an error.

Q&A status in 2026

The Q&A API change log records the shutdown. The Edit profile help page still lists Q&A responses, so reply to anything you still see and treat the feature as retired.

Where to click: if a Q&A section still appears on your profile, reply from the owner account. Either way, move your five most frequent customer concerns into the description, the services list and a website FAQ, where the search engine can still read them.

19. Duplicate profiles

Why: the platform allows one Business Profile per business, and duplicates split ratings. Search your name on the map each quarter. An accidental duplicate can be removed without affecting the verified listing. Otherwise, report a suggestion on Google Maps to request a merge: ratings are combined, but replies may be lost.

20. Verification status

Why: photos only go up on a verified profile. Verification runs by phone or text, email, live video call or postcard, and the check takes up to 5 business days. If the Get verified button reappears, recently updated business details are the usual cause.

21. Performance data

Why: the Performance tab shows whether the checklist has an impact: interactions, searches, profile views, direction requests, calls, website clicks, messages and bookings. Compare the same month year over year, not week to week. Where to click: Business Profile, Performance, pick a period, then Apply. For several locations, open Business Profile Manager, then Actions, then Insights to download one report.

How often should you update your Google Business Profile?

A Google Business Profile needs a light check every few days, a content refresh every month, a full pass through the checklist every quarter and a holiday schedule update before each holiday. The pace follows Google's own delays, starting with the 4-day window on suggested edits.

Build the calendar around what expires. Posts archive after 6 months, holiday closures apply only to the dates you enter, and a suggested edit can go live by default. The shortest deadline sets the pace for everything else.

Plan for processing delays too. Profile edits usually take up to 10 minutes to clear, but sometimes up to 30 days, so a change made the day before Thanksgiving may not appear in time.

When Task Why
Every 3 days Check blue text and new ratings 4-day window on suggested edits
Monthly New photos, one post, Performance report Posts archive after 6 months
Quarterly Description, services, attributes, duplicates Offers and details drift
Before holidays Enter special hours Edits can take up to 30 days

What are common Google Business Profile mistakes?

The most common Google Business Profile mistakes are keyword-stuffed business names, P.O. box addresses, redirecting website links, missing holiday schedules, unanswered suggested edits and incentives for reviews. Some only cost clicks; others break Google's guidelines, and a keyword-stuffed name can get the listing suspended.

Many start with good intentions and a bad strategy. An owner adds "best plumber Dallas" to the name, or points the website field to a booking page on another domain to convert more leads. Both break a written rule.

Others are neglect: a closed location, an old phone line or a dropped category still listed. Neglect rarely triggers a suspension, but it quietly costs customers.

Breaks Google's rules

Keywords in the business name, a P.O. box as the address, duplicate profiles, and discounts offered in exchange for ratings.

Costs you clicks

Missing holiday schedules, a redirecting website link, stale photos, archived posts, and suggested edits nobody checked.

Costs you trust

Unanswered feedback, copy-paste replies, a call center number instead of a local line, and a description written for search engines.

FAQ

Does Google have a checklist feature for Business Profiles?

Google Business Profile Help does not publish a single official checklist. The closest equivalents are the Guidelines for representing your business on Google, which set the rules, and the Edit profile screen, which lists every field you can fill. A checklist like this one combines the two with the processing delays the help center publishes.

Is a checklist the same as a Google Business Profile audit?

No. A Google Business Profile audit is a one-time diagnosis, often run with an audit template or a GBP audit checklist and SEO tools, that compares your listing with competitors. A checklist is the recurring routine that keeps the listing clean between audits, so the two work together rather than replace each other.

Can I work through the checklist from my phone?

Most tasks can be done from a phone. In the Google Maps app, tap Business at the bottom right, then Edit profile, to change the name, opening times, phone number and description. The review QR code is the exception: it is only generated from a computer browser, so download it on a laptop.

Is a Google Business Profile checklist the same as a local SEO checklist?

A Google Business Profile checklist is one part of a local SEO checklist and of your wider digital marketing. Local SEO also covers your website, citations on other directories and links from local sources, and Google Search Console tracks the website side. The profile usually comes first, because it appears directly in Google Maps and the local pack.

Your next step

A Google Business Profile checklist only works if it runs on a schedule. Start with the six foundations today, since the business name, categories, address, opening times, phone number and website shape every search where your business can appear. Next week, add the content block: a description under 750 characters, services, attributes and fresh photos. Then set up the review link so every customer can reach it in one step, and add a calendar reminder every three days for suggested edits. Block one hour this week and fix tasks 1 to 6. Which of the 21 tasks is still empty on your profile right now?
